AAN Annual Meeting Press Room Attendee Policies

The American Academy of Neurology (AAN), the world’s leading association of 34,000 neurologists and neuroscience
professionals, welcomes media participation at its 2018 Annual Meeting in Los Angeles. The following policies are in place for registered members of the press attending the AAN Annual Meeting Press Room.

Embargo Policy

The embargo for all non-emerging science abstracts, which includes more than 2,700 research presentations at the upcoming 2018 AAN Annual Meeting in Los Angeles, is 4:00 p.m. ET, Thursday, March 1, 2018, which is the date and time all non-emerging science abstracts will be posted online via AAN.com . This embargo date and time applies to all non-emerging science abstracts to be presented at the 2018 AAN Annual Meeting, April 21-27, unless otherwise noted by the AAN Media and Public Relations Department. 

The AAN strictly enforces its embargo policy, which prohibits the distribution or publication of the contents of abstracts ahead of the embargo date and time. Embargoed press releases on newsworthy non-emerging science abstracts will be distributed to credentialed journalists by early March 2018. 

The embargo for emerging science abstracts (formerly known as late-breaking scientific abstracts) to be presented at the AAN Annual Meeting remains in effect until 12:01 a.m., ET, Friday, April 20, 2018, unless otherwise noted by the AAN Media and Public Relations Department.

Emerging science abstracts are not posted online in advance of the AAN Annual Meeting. Emerging science abstracts are accepted from neurologists, neuroscientists, and other researchers whose work is of major scientific importance, warranting expedited presentation and publication. Which programs and sessions are registered media not allowed to attend?

  • Skills workshop sessions, which are hands-on learning sessions for physicians
  • Corporate Therapeutic Updates

Which programs and sessions can registered media attend at no charge?

Will registered media receive a syllabus if they attend a CME course?

Syllabi are available electronically to credentialed media on a first-come, first-served basis.

What are the Press Room hours?

The Press Room will be open:

  • Saturday, April 21, 2018 to Thursday, April 26, 2018: 7:00 a.m. to 5:30 p.m. PT
  • Friday, April 27, 2018: 7:00 a.m. to 1:00 p.m. PT

Can we submit advance interview requests?

Yes, please send requests for interviews of abstract authors or independent expert commentary to Renée Tessman at rtessman@aan.com.

Is still photography and video recording allowed?

The AAN has the following policies regarding the use of video and audio recording equipment at the AAN Annual Meeting:

  • Still and video camera use is prohibited in the Scientific Plenary Sessions and education courses
  • An AAN Press Room staff escort is required for all credentialed journalists to use a still camera in any area of the AAN Annual Meeting, except for hallways and the Scientific Poster Sessions
  • An AAN Press Room staff escort is required for all credentialed journalists to use a video camera in all approved areas of the AAN Annual Meeting at all times
  • Journalists must meet their AAN Press Room staff escort in the AAN Press Room and be escorted to their desired location to take pictures or film

Is audio recording allowed?

Media wishing to audio record any part of the AAN Annual Meeting should receive prior clearance from the AAN Press Room staff when registering on-site.
